Clinic manual
Running a clinic on Medical Horus: patients, appointments, billing, stock and staff.
Getting started
Tutorial Your first day: setting up your clinic The order that avoids rework: services first, then your team, then patients — whether typed in or migrated. How-to Inviting your team Staff are invited, not imported — each person creates their own account and gets exactly the pages and actions you grant them, no more. Reference Finding your way around the clinic portal The sidebar is grouped by the job in hand; the top bar always carries your notifications, on every screen size.
Patients
How-to Adding one patient by hand Patients, then Add Patient. Only the first name is required — a walk-in with nothing else is still a patient. Optional details, including the clinic file… How-to Bringing patients in from another system Open Patients and choose Import. Download the template, fill it in Excel, and upload it. You see exactly what will happen — which rows are new, which match an…
Clinical records
How-to Asking a patient for their full history How consent works: you ask, the patient chooses how long, and access closes by itself. How-to Building your own assessment forms Build a form once from ready-made fields, map the answers that matter to the patient summary, and pick it at the point of care instead of typing the same visit up by hand. How-to The patient brief and its AI summary Everything you need about a patient on one card when you open their file — and a summary you can ask questions of.
Billing and payments
How-to Billing an insurer instead of the patient Add the insurers you work with, set how each one covers a visit, and follow a claim from billed to paid without mistaking it for revenue too soon. How-to Invoices, payments and what a patient owes Billing holds invoices and payments. Each patient also has an account showing what they owe, settled oldest first. An opening balance carried over from your… How-to Selling and tracking prepaid packages Sell a bundle of sessions once and let each visit draw down against it automatically, with holds, expiry and cancellation handled for you. How-to Services and prices Services holds what the clinic offers and what each costs. Packages group several services at one price and can be sold to a patient and redeemed over time. Explanation How a patient’s account balance is calculated The Account tab is an append-only ledger: nothing is edited or deleted, every figure traces back to a dated row, and payments always settle the oldest debt first.
Stock and suppliers
How-to Stock and suppliers Inventory tracks supplies, movements and low-stock levels. Suppliers holds orders, deliveries and what is owed to each supplier. How-to Suppliers and purchase orders Raise an order against a supplier, receive it as goods arrive, and pay it separately — the two never have to happen together. Reference Tracking clinic stock What is on hand is always a total of recorded movements, never a number typed in directly — so it can always be explained by reading the history.
Subscription and plans
How-to Changing or cancelling your plan Upgrading, moving down, switching to yearly, and stopping renewal. How-to Opening another clinic A second (or third) clinic has its own subscription, its own price and no trial. How-to Paying your subscription Where the invoice is, how to pay, and what happens if a payment is late. Explanation Plans and prices: Solo and Complete What each plan includes, what a second clinic costs, and how the free trial works.
