Selling and tracking prepaid packages
Sell a bundle of sessions once and let each visit draw down against it automatically, with holds, expiry and cancellation handled for you.
A package is a bundle sold once and used over several visits — "10 physiotherapy sessions and 5 massage sessions for 3,000" is a typical example. Set the services and quantities a package includes on the clinic's Services page, then sell it to a specific patient from the Packages tab on their profile.
How a session is spent
A session is deducted when the appointment is marked completed, not when it is booked — a booking only shows what would be covered. If a completed visit is later cancelled, the desk chooses whether to give the session back or leave it spent.
The booking screen shows the same coverage the ledger will apply — for example, "Covered by 'Physio 10' — 7 of 10 sessions left" — so there is never a mismatch between what was promised at booking and what is deducted afterwards.
A session a package pays for is never billed again
The patient's account treats a package-covered visit as settled. See How a patient's account balance is calculated for how charges and package redemptions reconcile.
Expiry, holds and cancelling
Every package has an expiry date, taken from the clinic's default shelf life at the time of sale. If a patient holds a package — travelling, pausing treatment — resuming it pushes the expiry out by exactly the number of days it was on hold, so no paid-for time is lost.
Cancelling a package does not erase its history. The unused sessions are shown at list price to help decide a refund, but nothing is refunded automatically — that stays a deliberate decision, recorded as a credit on the patient's account.
When more than one active package could cover a visit, the one expiring soonest is used first, so a package that never expires is never spent ahead of one that is about to run out.
